You may find it funny why you would use a project management tool at all. And it’s not even that weird, especially when you want to save energy, time, and nerves! 😉
Maybe you think something like …
“Well, we can use only email.”
or,
“Ah, we all know what we’re doing right now.”
or,
“I don’t want to use this program.”
I tell you from experience that project management is necessary, and using tools can be a big time saver.
Emails get lost, overlooked … not to mention the headache of finding a specific mail (for a week, two, three ago)…
Using the program is so much easier, more transparent, and always available to find out the current situation! This means that even if I or a client don’t know exactly what else is needed to be done (sometimes the project takes a longeeeer time)… we can always look into the app. Transparency is there.
If you don’t already know: a project management tool is a program/app used to manage a project: tasks, communications, materials, it is also possible to set a deadline for each task, to assign a person who needs to do something with a specific task, what has already been done…
Well here are some of the main advantages of why I use a project management tool with my clients:
1 | Overview of the project at any time
At any time, both I and the client have an overview of the current state. It is also clear which tasks I do, which the client has to do (eg. which materials need to be prepared, what is waiting for revision …). At any given moment, it is clear who works on a specific task.
2 | Reminders
It is not necessary to send reminders (eg for reviewing specific content or preparing content, feedback for revision …) automatic reminders are set to remind that it is time to solve a task.
3 | Clearer communication, transparency
Mails are great! But what if they get lost or you just can’t find this specific one, because of numbers and numbers of emails. The app is the solution because all the comments are under specific tasks. So you can easily find what you looking for. See agreements and what did we decide to do.
4 | Save time and nerves
We all have the same number of hours in a day. How we use them is up to us. For me, the priority is to spend as little time as possible on things that are not essential but necessary – and the project management app is absolutely one of those that saves me a huge amount of time on every project! And not only time, but also nerves 🙈 (searching and disorganization is not something I enjoy). Focusing and using energy to work on what is important, is a priority for me!
5 | All in one place
This application is not only for tasks and communication, we also use it to share photos and other materials for the website. It is also an application where all materials are submitted – e.g. images, texts for the website… Both I and the client always have access and an overview of the content.
